Welcome to JW McClenahan!

Here you will find all the information and training you will need to complete during the onboarding/new hire process.

There are the segments you need to complete for your onboarding process.

  1. Handbook Review (20 minutes) and Receipt for Handbook

  2. Poster review (Review the federal posters and the ones for your state - 10 minutes)

  3. Safety Documentation (Review policies, forms, and checklists - 30 minutes)

  4. Harassment Prevention Training (1 hour for staff, 2 hours for managers)

  5. Workplace Violence Prevention Training (45 minutes)

  6. HR Forms (Complete the first four onboarding steps, then click on HR Forms button. You will be asked to fill in several forms (10), save each form, then submit the completed forms using the File Upload button - 40 minutes)

Here are the major changes made in the January 2025 updated handbook:

EEO Law:  Added protected categories for hairstyles and hair textures. Also, discrimination is protected due to a combination of characteristics.

  • Sick Leave:   paid sick leave includes “safe” leave for employees whose family members are victims of various forms of violence or threats

  • Paid Family Leave:  Employees cannot be forced to use accrued vacation before accessing Paid Family Leave (PFL) benefits.

  • Jury Duty, Court Leave, Violent Activities:  Employees may use vacation, personal leave, paid sick leave, or other applicable compensatory time off for a wide range of activities associated with jury duty, to appear in court as a witness, or for activities associated with qualifying acts of violence. Employees accessing the leave are protected from discrimination.

  • JWM will create a list of employees' rights and responsibilities under the whistleblower laws and post it annually. 

  • Vacation accrual while on Leave:  Clarified policy that while on a LOA vacation does not accrue.

  • Gifts, Etc. Clarified policy Gifts, Favors, Trips, Meals, Client Gratuities Or Other Payments

Previous changes from 2024: 

  • CFRA – Family leave can now be taken for a “designated individual”  (effective Jan 2024)

  • Bereavement Leave – Employees are entitled to 5 days of leave which does not need to be consecutive days (effective Jan 2024)

At JW McClenahan, safety is our top priority. Employees have the responsibility of reading and following all safety measures. This section has various documents related to the Safety function in the office and the field locations. Click on any of the links to access the written policies.

Safety Onboarding:

As part of the onboarding process, the following safety practices need to be read and acknowledged. Read each of these documents and download the policies for your reference. You will be asked to acknowledge receipt of the documents on the Employment Form when you upload the HR Forms.

Harassment Prevention Training

 
 

Directions for training:

Harassment prevention training is required in several states, and the federal EEOC “strongly encourages” training. To be consistent, we are following California mandates which require one hour every other year for all staff, and a second hour for all managers and supervisors. To begin, select your work location, then select Session A or Session B.

Session A - All Employees - All employees must complete the one-hour training session.  This session includes the legal and behavioral issues associated with harassment, discrimination, and retaliation, and includes a discussion of bullying and abusive conduct. Complete the video training, review the poster, then take the short quiz. The training is in English or Spanish.

Session B - Managers, supervisors, and team leaders must complete both Session A and Session B, including the videos, activities, and tests to comply with the two-hour requirement.

Be certain you have a complete hour to take each session. After each test, a certificate of completion will be emailed to you and the employer will maintain the records.

HR Forms for Onboarding

The forms below need to be completed as part of your new hire paperwork. Click on each link, fill out the online form, and save the pdf. To get back to the list of documents on this webpage, use the back arrow on the browser. Once you complete all the forms, upload the documents using the button below.

  1. Employment Form for Emergency Contact information and receipt of safety, Covid, and compliance documentation from the Safety section (review all required documents on Steps 1-4 first)

  2. Application Form (this contains information the company needs to process records and payroll)

  3. Affirmative Action Self-Disclosure (this information is kept for compliance reasons only and will be kept confidential)

  4. I-9 - for employment verification (note: Print and sign this form and bring your supporting documents to your first day of work so that the form can be signed off and the original documentation can be viewed for compliance purposes)

  6. Acknowledgement to Obtain Driving Record

  7. Direct deposit banking information

  8. Receipt and acknowledgment of employee handbook

  9. W-4 for Payroll deductions

Quarterly Conversation

 
 

Ongoing dialogue with your supervisor is an important part of your personal and career development. Staff is asked to complete the on-line reflection every quarter. This information will be provided to your supervisor or manager to use as feedback about ongoing training and development needs, goals, and progress. The objective is candid dialogue.

Employees are encouraged to access a series of self-paced training modules on team development, efficiency, communication, and other topics. Access to those modules follows in the next section or click here to access the training portal.

Interviewing Questions

JWMcClenhan’s interviewing process strives to be fair and consistent. We review all candidates based on knowledge, skills, values, and behaviors. To ensure that new hires are a good match for our corporate values, we encourage hiring managers to ask a set of specific questions. Interviewers can access a list of questions from the list below, or you can select from a bank of 500+ questions based on knowledge, skills, values, and behaviors.

Here are three ways to access interviewing questions. Click on the link below:

DRAFT Job Descriptions

Employee performance and motivation starts with a well-crafted job description. Job descriptions can help with job classification and compensation to ensure fairness and equity, ADA compliance for interviewing and hiring, performance management and goal setting, and more.

These documents are DRAFTS of various positions. There are several general sections about the purpose of the position, reporting relationship, etc. The Essential Functions describe the main processes of the job. In some cases, the JD will be tailored to a specific person, but generally the JD will apply to all people performing that job.

The three main sections to review are (1) ESSENTIAL FUNCTIONS, (2) EDUCATION AND EXPERIENCE REQUIRED, and (3) TECHNICAL SKILLS. Many of the other components are standard to the company, the position, or the employee classification.
